Project Associate

The Project Associate is responsible for providing program logistical and management support for complex project operations. This support includes project administrative, budgeting and logistics for the global Capacity Project. S/he reports to a Project Officer in the Operations Team and supervises no staff.

Specific functions include monitoring and tracking core expenditures on Deltek Finance reports and work with technical staff and Finance Department to make adjustments when needed; reviewing expense reports, check requests and Deltek reports and collaborating with Finance Unit to correct any errors identified; developing and updating reports and information to distribute to Tracking Code Managers to allow them to monitor burn rates; developing and revising budgets for technical activities in close coordination with Activity Leads; collecting projections and expenditure information for USAID reports and other project financial documents; developing and maintaining project management systems for tracking expenditures, accruals, burn rates, expenditure projections; supporting PO in ensuring implementation of project administrative and management systems, including standard operating procedures for both headquarters and field; assisting in producing project management reports including finance charts and tables; creating, monitoring and updating Project operational documents; working with consultants to obtain CV, bio-data and determine if rate can be supported by the activity budget; liaising with contracts department to approve consultants; issuing consultant hiring letter; reviewing consultant expense reports and invoices ensuring accuracy and adherence to contract as well as sufficient supporting documents; preparing check requests and submitting paperwork for timely payment; approving timesheets for field and headquarters staff as assigned; and, undertaking other related tasks as assigned by a supervisor.

Requirements include a Bachelors degree; 1-2 years experience in administration and management; strong oral and written communication skills, including editing skills; excellent organizational skills - detail oriented and accurate; proficiency in Word, Excel and Power Point; and the ability to work in teams, work under pressure and meet deadlines.
