Job Description

A Publications Specialist works in a Team environment operating office equipment and using word processing software programs and applications to prepare highly complex technical and non-technical documents. You may provide publications support for both internal and external clients which can include direct client and staff contacts to obtain project specifications. Work performed includes document formatting and conducting quality control checks as well as providing production and distribution support for a variety of publications. The final product may be hard copy, electronic, web based, and/or reproduced on CD/DVD.

Responsibilities

• Uses various publications software (e.g., Microsoft Word, Excel, PowerPoint) to create professional-quality documents and publications.
• Communicates with internal client; discusses document requirements; answers questions; informs client of job status.
• Formats documents to client specifications using level-appropriate techniques (e.g., style sheets and templates).
• Understands proofreader marks.
• Prioritizes work assignments according to type of document and date needed; refers problems to lead worker, job coordinator, or supervisor as appropriate.
• Imports, exports, and converts data, graphics, and text files using appropriate software.
• Distributes and archives electronic and hard copies according to established procedures or instructions; understands file structure.
• Successfully troubleshoots software compatibility issues.
• Checks work for consistency, accuracy, and adherence to instructions; makes necessary corrections prior to returning document to client.
• Participates in the continuous improvement of department operations.
• Updates skills/training on new technology and software.
• Assists co-workers when department work load requires.
• Creates and designs templates.
• Produces or coordinates production with graphics designers, copy center, and outside vendors.
• Develops process guidelines as needed.
• Recommends modifications in task approach to meet project objectives as needed; incorporates new technology into projects as appropriate.
• Determines and prepares document specifications within budgetary limitations.
• Provides input for work estimates.
• Assists with training new staff; sharing knowledge and skills.
Prepares online submissions of project deliverables and provides assistance to clients in disseminating results via client web sites.

Qualifications

•High school diploma equivalent required plus a minimum of 7 years of related experience in document preparation and/or publications creation and design.

•Ability to work within a team establishing effective working relationships with supervisor, co-workers, clients, and other RTI staff.

•Demonstrates effective communications and customer service skills.

•Is proficient in Microsoft Office Suite (Microsoft Word, Excel, PowerPoint). May use Adobe to create interactive PDF forms. Experience with referencing software (Endnote, ProCite, etc.) is a plus.
NOTE: Candidates will be required to complete a Microsoft Office formatting test which will be administered to all selected candidates at the time of their interview.

•Experienced in the operation of word processing office equipment including computers and various peripherals necessary to produce a final product that may be in hard copy, electronic, web based, and/or CD/DVD format. Operates word conversion software to prepare documents for posting on the web.

•Quality conscious and detail oriented, able to follow very specific written and verbal instructions, established procedures, manufacturer’s operating guides, and software manuals.

•Ability to organize and prioritize multiple tasks.

•Ability to meet deadlines.

•Capability to work with limited direct supervision while carrying out assignments independently.

•Physical demands include frequent and prolonged amounts of sitting and use of keyboard, mouse and monitor. May also be required to stand for prolonged periods of time.
